Fitment Verification Policy

This Fitment Verification Policy governs vehicle information requirements, compatibility verification procedures, and customer responsibilities for all products sold by Gear Haven Auto Parts LLC ("Gear Haven," "Company," "we," "our," or "us").
This policy applies to all used engines, used transmissions, and any related automotive components sourced through Gear Haven Auto Parts LLC.
1. Purpose of This Policy
The purpose of this policy is to ensure that the correct component is identified and sourced based on the information provided by the Customer.
Gear Haven relies upon information supplied by Customers, installers, repair facilities, dealerships, and third-party sources when identifying compatible components.
2. Required Vehicle Information
Before any order can be processed, Customers must provide accurate vehicle information, which may include:
- Vehicle Identification Number (VIN)
- Year
- Make
- Model
- Engine Size
- Engine Code
- Transmission Type
- Drive Type (FWD, RWD, AWD, 4WD)
- Production Date (if applicable)
- Any other information reasonably requested by Gear Haven
3. Customer Responsibility
The Customer is solely responsible for the accuracy and completeness of all vehicle information submitted to Gear Haven Auto Parts LLC.
Gear Haven does not independently inspect the Customer's vehicle and relies on the information provided during the ordering process.
If inaccurate, incomplete, outdated, or misleading information is provided, Gear Haven shall not be responsible for resulting compatibility issues.
4. VIN Verification
Whenever possible, Customers should provide a complete VIN.
VIN information helps improve identification accuracy and reduce fitment-related issues.
Failure to provide a VIN may increase the risk of ordering an incompatible component.
5. Supplier and Interchange Data
Gear Haven uses supplier-provided information, automotive interchange systems, industry databases, and available compatibility resources to identify potential matching components.
Because recycled and used automotive parts may originate from different donor vehicles, compatibility may depend upon specific vehicle configurations and options.
Gear Haven does not guarantee the accuracy of third-party interchange databases or supplier-provided information.
6. Installer Verification Requirement
Before installation, Customers and installers should independently verify:
- Part numbers
- Engine codes
- Transmission codes
- Electrical connectors
- Sensors and modules
- Mounting points
- Accessory locations
- Vehicle compatibility requirements
Failure to verify compatibility before installation may affect return eligibility and warranty coverage.
7. Used and Recycled Parts Disclaimer
Used automotive components may differ cosmetically from the original component removed from the vehicle.
Differences may include:
- Paint markings
- Surface rust
- Cosmetic wear
- Minor appearance differences
- Different supplier labels
Such cosmetic differences do not necessarily affect functionality or compatibility.
8. Modified Vehicles
Gear Haven does not guarantee compatibility for:
- Modified vehicles
- Performance vehicles
- Custom builds
- Swapped engines
- Converted transmissions
- Aftermarket performance modifications
Additional verification may be required for modified vehicles.
9. Customer Error Orders
Orders resulting from incorrect information provided by the Customer may be classified as Customer Error Orders.
Examples include:
- Incorrect VIN submitted
- Incorrect engine size provided
- Incorrect transmission type provided
- Incorrect vehicle year submitted
- Incorrect trim or drivetrain information provided
Customer Error Orders may be subject to:
- 25% Restocking Fee
- Customer-paid return shipping
- Original shipping charges
- Additional freight expenses
10. Installation of Incorrect Components
Customers should not install any component that appears incompatible with their vehicle.
Installation of a potentially incompatible component may:
- Void return eligibility
- Affect warranty coverage
- Create additional expenses not covered by Gear Haven
11. No Guaranteed Fitment Without Accurate Information
Gear Haven can only identify compatible products using the information provided by the Customer and available industry resources.
Gear Haven does not guarantee fitment where inaccurate or incomplete vehicle information has been provided.
12. Labor Disclaimer
Gear Haven Auto Parts LLC does not reimburse:
- Labor charges
- Diagnostic fees
- Installation expenses
- Removal expenses
- Reinstallation expenses
This limitation applies regardless of whether a fitment issue occurs.
13. Investigation Rights
Gear Haven reserves the right to request:
- Vehicle photographs
- VIN documentation
- Diagnostic reports
- Installation records
- Additional compatibility information
Failure to provide requested information may affect claim eligibility.
14. Fraud Prevention
Gear Haven reserves the right to deny claims, returns, exchanges, or refunds where:
- Fraud is suspected
- Vehicle information was misrepresented
- Documentation is insufficient
- Policy requirements were not followed
15. Limitation of Liability
To the fullest extent permitted by law, Gear Haven Auto Parts LLC shall not be liable for:
- Labor expenses
- Towing charges
- Rental vehicle expenses
- Storage fees
- Lost profits
- Business interruption losses
- Indirect damages
- Incidental damages
- Consequential damages
The maximum liability of Gear Haven Auto Parts LLC shall not exceed the amount paid for the product involved in the claim.
