Core Charge Policy

This Core Charge Policy governs all refundable core deposits associated with engines, transmissions, and related automotive components sold by Gear Haven Auto Parts LLC ("Gear Haven," "Company," "we," "our," or "us").
This policy forms part of the Gear Haven Auto Parts LLC Terms & Conditions and applies whenever a core charge is listed on an invoice, quote, order confirmation, or sales agreement.
1. What Is a Core Charge?
A core charge is a refundable deposit collected on certain engines, transmissions, and related components.
The deposit helps ensure the return of the Customer's old unit ("Core") to the supplier or recycling facility.
Core charge amounts vary depending on the product and supplier requirements.
2. Core Charge Disclosure
Any applicable core charge will be disclosed before purchase and may appear separately on:
- Quotes
- Invoices
- Order Confirmations
- Sales Receipts
- Checkout Pages
Customers are responsible for reviewing all charges before completing a purchase.
3. Eligibility for Core Refund
To qualify for a core refund, the returned core must:
- Match the type of component purchased
- Be substantially complete
- Be free from catastrophic external damage
- Be returned within the required timeframe
- Meet supplier acceptance standards
All core refunds remain subject to inspection and supplier approval.
4. Core Return Timeframe
Unless otherwise stated in writing, cores must be returned within thirty (30) calendar days from the date of delivery.
Late returns may be denied or may become ineligible for refund.
Certain suppliers may impose shorter or longer return periods, which will control if disclosed at the time of sale.
5. Acceptable Core Condition
Returned cores should be substantially complete and suitable for rebuilding, recycling, or remanufacturing.
Examples of acceptable returns may include:
- Original engine block
- Original transmission housing
- Major internal components present
- Normal wear and use
6. Unacceptable Core Condition
Core refunds may be denied if the returned unit:
- Is missing major components
- Has a cracked block or housing
- Has severe fire damage
- Has severe impact damage
- Has been intentionally dismantled
- Has been stripped of valuable components
- Does not match the purchased component type
7. Core Return Authorization
Customers must contact Gear Haven before returning any core.
Return requests should be submitted to:

Gear Haven may provide specific return instructions, shipping instructions, labels, or supplier contact information.
Unauthorized core returns may be refused.
8. Shipping Responsibilities
Unless otherwise agreed in writing, Customers are responsible for:
- Core packaging
- Core preparation
- Freight coordination
- Shipping expenses
- Loading assistance
Customers should retain all tracking and shipping documentation until the refund process is complete.
9. Packaging Requirements
Returned cores should be packaged in a manner that prevents damage during transit.
Whenever possible, Customers should utilize:
- Original pallet
- Original crate
- Original packaging materials
Improper packaging may result in transit damage and could affect refund eligibility.
10. Inspection Process
All returned cores are subject to inspection by:
- Gear Haven Auto Parts LLC
- Suppliers
- Recyclers
- Rebuilders
- Authorized third parties
Inspection findings will determine refund eligibility.
11. Supplier Approval Requirement
Because Gear Haven operates through independent suppliers, final core acceptance may require supplier approval.
Gear Haven does not control supplier inspection standards or acceptance decisions.
Supplier decisions regarding core condition may affect refund eligibility.
12. Partial Core Refunds
In certain situations, a partial core refund may be issued if:
- The core is incomplete
- The core has repairable damage
- The supplier applies deductions
- The returned unit has reduced value
13. Denied Core Refunds
Core refunds may be denied if:
- The core is not returned
- The core is returned late
- The core is heavily damaged
- The core is incomplete
- The wrong component is returned
- Supplier requirements are not satisfied
14. Refund Processing
Approved core refunds are generally issued after:
- Receipt of the returned core
- Completion of inspection
- Supplier approval when required
Processing times vary depending on supplier response times and payment processor timelines.
Gear Haven cannot guarantee a specific refund processing timeframe.
15. Fraud Prevention
Gear Haven reserves the right to deny core refunds where:
- Fraud is suspected
- Documentation is inaccurate
- The returned unit is misrepresented
- Policy requirements are not followed
16. Limitation of Liability
To the fullest extent permitted by law, Gear Haven Auto Parts LLC shall not be liable for:
- Shipping delays
- Supplier inspection delays
- Carrier delays
- Lost profits
- Business interruption
- Consequential damages
- Indirect damages
The maximum liability of Gear Haven Auto Parts LLC shall not exceed the amount of the applicable core charge paid by the Customer.
